Position: MATERIALS AND ADMIN SPECIALIST (New Job Offer release)

Department: OPS/LOG (Division Logistique)

Area of Activity: Drilling & Completion Engineering

Location: Office / Logistics Base

Reports to: Hierarchal report : Logistics Base Manager / Materials Coordinator

Functional report : Materials Coordinator

 

Objectives:

Ensure a proper Materials Management process at the Logistics Base, performing periodically inventory and oversight of drilling/project materials in/to offshore facilities. Providing support to Base Manager & Logistics Officer with the Contract Management process, deliver and maintain standard, consistent, and realistic cost estimates reflecting the assessed risk parameters for the Company / Project.

 

Main roles and responsabilities

• Verification of materials receipt documents managed by logistics operation team;
• Cross checking the correctness of purchasing, delivery and pre-receipt documents;
• Running Material receiving reports upon requests;
• Processing/Checking Goods Receipt and other related movements in Company ERP System for all newly arrived / returned materials;
• Interface with materials inspection/preservation team assigned by End Users to process quality inspection aligned with the physical verification and ERP posting;
• Supporting in Scanning, saving, archiving all materials delivery documents;
• Resolving any technical issues related to material coding.
• Supervision of the whole materials receipt process falling under logistics/warehouse operation phase aligned with the Company HSE procedures;
• Coordinate provision of equipment and resource required for the materials receipt operation;
• Quantitative verification of the materials receipt to ensure compliance with WO/PO requirements and accompanying delivery documents (i.e. Invoices, Delivery Notes, Way Bills and Packing Lists, etc);
• Ensuring that all lay down areas, storage locations and bins are marked with their alpha/numeric reference through the use of signs, stenciling, floor markings and painted boundaries;
• Supervising the material handling delivered in Warehouses and Yard areas;
• Define proper materials storage methods considering quantity, weight and volume, typology, technical specification, manufacturer storage requirements, Dangerous Goods Regulation, Hazardous identification, HSE and environmental restrictions, and other related rules.
• Processing of Goods Receipt and other related movements in Company ERP System for all newly arrived / returned materials;

 

Secondary Responsibilities

• Supporting the issuing of Work Order, Work Ticket, Service Entry and relative invoice.
• Ensuring a cost control system, in order to guarantee a correct cost allocation, the compliance of costs with contracts or agreements signed by the company and the variance analysis between actual values and budget/forecast figures;
• Ensure Budget and Cost Control services associated with Plan & Budget;
• Ensure the economic evaluation as support to the company management decision.

Required skills

- Master Degree in Engineering or Equivalent;
- Previous experience in Oil and Gas Material Management;
- Good knowledge on Contract Management and HSE topics;
- Preferable some notion of Drilling/Production Operations in O&G;
- Good level on communication skills;
- Computer literate;
- Fluent in French and English languages.
